Data we collect

  • Identity & Contact: name, email, phone, billing address, social handles.

  • Profile/Account: password hashes, course progress, downloads purchased.

  • Booking & Coaching: session history, forms you submit, goals you share (avoid special category data unless necessary and with explicit consent).

  • Transaction: product purchased, price, last four digits of card (via Stripe/PayPal), invoices.

  • Usage & Technical: IP, device, browser, log data, cookies, pixels (see Cookie Policy).

  • Marketing Preferences: subscriptions, opt-ins/opt-outs.

Special category data (health/mental health)

We do not require medical data to provide coaching. If you voluntarily share health-related information (e.g., ADHD diagnosis), we will only process it with your explicit consent or where necessary for safeguarding, and we will minimise and protect it appropriately.

Lawful bases

  • Contract: to deliver coaching, courses, downloads, and customer support.

  • Consent: marketing emails (where required), non-essential cookies/ads pixels, special category data.

Sharing your data (processors & recipients)

We use trusted providers acting as processors under data processing agreements:

  • Systeme.io (course hosting, CRM, email automation).

  • Zoom (video calls).

  • Calendly (scheduling).

  • Stripe & PayPal (payments).

  • Meta (Facebook/Instagram) & TikTok (ads/analytics pixels with consent).

  • Google (email, workspaces, analytics if enabled).
    We may share minimal data with professional advisors (legal/accounting) and authorities when required by law. We do not sell personal data.

International transfers

Some providers process data outside the UK/EEA. Where this occurs, we rely on approved safeguards (e.g., Standard Contractual Clauses and UK Addendum) and additional measures as needed.

Retention

Your rights

Service Terms — Coaching & Group Programs

Scope of services

1:1 coaching sessions and group programs delivered online (typically via Zoom), booked via Calendly, with materials hosted on Systeme.io.

Client responsibilities

Show up on time, participate respectfully, and complete agreed pre-work. For groups, maintain confidentiality and support others; no recording/sharing of group content.

Boundaries & disclaimers

Coaching is educational and developmental and not therapy, medical, legal, or financial advice. We may signpost external resources when appropriate. We do not provide crisis support.

Crisis

If you are in crisis or at risk, contact local emergency services (UK: 999) or NHS 111, or Samaritans (116 123). We may disclose information if we believe there is a serious risk to you or others.

Scheduling, cancellations & no-shows

  • Reschedule 24 hours before your session via Calendly.

  • Cancellations with 24 hours notice or no-shows are charged in full.

  • We may reschedule due to illness/emergency; we’ll offer the earliest reasonable alternative.

Payments

Fees are due at booking or per invoice via Stripe/PayPal. For instalment plans, you authorise recurring charges until paid in full. Late or failed payments may suspend services.

Refunds

See the Refunds & Cancellations Policy. Any statutory rights are unaffected.

Confidentiality

We keep client information confidential except: with your consent; where required by law; or where there is a risk of harm.

Recording

We do not record 1:1 sessions without explicit consent. Group calls may be recorded for enrolled members; recording status will be announced, and access is limited to the cohort.

Termination

We may terminate services for non-payment, breach, or inappropriate conduct; pro‑rata refunds (if any) per Refunds Policy.

Digital Products & Courses Terms

Licence & access

Upon purchase, we grant a personal, non-transferable, revocable licence to access the content via Systeme.io. You must not share, resell, or redistribute the content.

Cooling‑off (UK Consumer Contracts Regulations)

  • Instant-access digital content (downloads/evergreen courses): You will be asked to expressly consent to immediate access and acknowledge you lose the 14‑day cancellation right once access begins. If you do not consent, access will start after 14 days or we will refund on request.

  • Live cohorts/programs: You can cancel within 14 days before the start date. Once the program begins (or if you asked to start during the 14 days), the right may be lost for delivered portions.

Misuse

We may suspend or revoke access for sharing content, breaching community rules, or violating IP rights.

Refunds

Per the Refunds & Cancellations Policy.

Technical requirements

You are responsible for having suitable internet and devices to access Zoom and Systeme.io.

Refunds & Cancellations Policy

1:1 Coaching

  • Reschedule: 24 hours before — free.

  • Late cancellation: <24 hours — charged in full.

  • No-show: charged in full.

Packages (1:1)

  • Cancel within 14 days of purchase before the first session: refund minus [£120 admin fee] .

  • After first session: pro‑rata refund at our discretion for remaining sessions if requested within 14 days of first session.

Group Programs (Live Cohorts)

  • Cancel within 14 days before start: full refund.

  • After start or where you requested early start during the cooling-off period: no refund, except where required by law.

Digital Downloads & Evergreen Courses

  • If you consent to immediate access, you acknowledge that refunds are not available after access begins.

  • If you do not consent to immediate access, you may cancel within 14 days of purchase prior to access.

How to request

Email [info@stormcopestake.com] with your name, order number, and details. We aim to respond within 7 days. Approved refunds are issued to the original payment method within 14 days.

Events beyond our control

If we must cancel or postpone due to unforeseen events, we’ll offer a reschedule or refund for undelivered services.

Accessibility Statement

We aim to meet WCAG 2.2 AA. We use captions on new video content, provide transcripts where feasible, and avoid flashing content. Known limitations may exist in third‑party embeds (Systeme.io, Calendly, Zoom). If you encounter barriers, contact [info@stormcopestake.com] and we will provide reasonable alternatives.
